Mark shipping and delivery
Mark a physical order as shipped, with carrier and tracking, let the buyer know by e-mail and record the delivery.
Vipter doesn't connect to carriers: your team ships the order. So the buyer knows the package has left and the reports know what is still to ship, someone on the team marks the shipment on the order page. Each order goes through three statuses: To ship, Shipped and Delivered.
Before you start
- Any role in the project: Sales, Admin or Owner.
- A paid order that asked for a delivery address in the checkout, that is, with a product of type Physical product or Physical subscription with delivery. See Shipping: zones, methods and classes.
- For the buyer to get the notice: an e-mail provider connected and the Order shipped e-mail on. See Transactional e-mails.
How the status works
As soon as an order with delivery is paid, it starts as To ship. Orders that didn't ask for a delivery address have no shipping status.
| Current status | Buttons that show |
|---|---|
| To ship | Mark as shipped |
| Shipped | Mark as delivered and Back to to-ship |
| Delivered | Back to to-ship |
The shipping status belongs to your team alone. A payment update from the provider doesn't change what you marked.
Step 1: find the orders to ship
- Open SalesTransactions.
- In the Shipping filter, pick To ship.
The filter only shows once the store has had an order with delivery. See Transactions: search and filter.
Step 2: mark as shipped
- Open the order. The shipping status is on the Delivery card, in the right column, with the address and the shipping method.
- Click Mark as shipped.
- Fill in the window:
- Carrier: the carrier's name, up to 120 characters.
- Tracking code: up to 120 characters.
- Tracking link (optional): the page where the buyer follows the delivery. If you type the address without
https://, Vipter adds it.
- Click Confirm shipment.
All three fields are optional, but the e-mail to the buyer only carries what you fill in.
It worked if
The message Shipping updated shows, and the Delivery card shows Shipped, the date under Shipped on, the carrier and the tracking code. With a link, the code becomes a link to the tracking page. Without a code, the Track link shows.
The e-mail to the buyer
When you mark the order as shipped, the buyer gets the Order shipped e-mail, in their language, with the order number and date, the shipping date, the carrier, the tracking code and the delivery address. With a tracking link, the e-mail gets a button to the tracking page.
The e-mail only goes out if the store has an active e-mail provider and Order shipped is on. It comes on by default. To change the text or turn it off, see Transactional e-mails. Marking as delivered or going back to to-ship sends no e-mail.
Step 3: mark as delivered
When the package arrives, open the order, click Mark as delivered and confirm. The card now shows Delivered and the date under Delivered on. The carrier and tracking stay on the order.
Fix a shipment
Typed the wrong tracking code, or the package came back? Click Back to to-ship and confirm. The dashboard warns: Move this order back to "to ship"? The shipping date, carrier and tracking are cleared.
The order goes back to To ship. Then mark it as shipped again with the right details. Each new shipment sends another Order shipped e-mail to the buyer.
Common problems
-
Carrier and tracking code take up to 120 characters.
Shorten the carrier or the code. The link goes in its own field.
-
The tracking link must be an http or https address.
The tracking link must be a web address, such as
https://tracking.example.com/BR123. Leave the field blank if you don't have one. -
This order does not accept that change.
Someone else changed the status while the page was open, the order isn't paid, has no delivery, is a sample from the demo store or the project is suspended. Reload the page and check the status.
-
Could not save. Try again.
The status wasn't saved. Try again in a few seconds.
-
The buyer didn't get the e-mail
Check that the store has an e-mail provider, that Order shipped is on and that the order has the buyer's e-mail. The reason for each send shows in E-mail activity and blocked addresses.
-
The shipping buttons don't show
The order isn't paid, didn't ask for a delivery address, is a sample from the demo store or the project is suspended.
What to do next
- See how much shipping was charged, what is still to ship and how long the store takes to ship in Understand the reports. The Shipping and deliveries report uses the statuses marked here.
- See the rest of the order page in Order detail.
Change the status manually
Mark an order settled outside the checkout as paid, canceled or refunded, with the reason on record, and learn what each status triggers and which status wins when the provider changes it later.
Create a quick payment link
Charge an amount agreed with the customer through a link with a name and an amount, with no product setup, and follow its payments.
